This is great news!  Many grant-funded programs and projects on campus are in place because of the ideas of students, faculty and staff.    Follow the steps below to get started:

1. Begin by putting your ideas on paper.   Download Form A:  External Funding Proposal Concept Abstract and complete each section.  This form will be used to develop a case statement and can assist the RDO in matching appropriate funding opportunities to your program now and in the future.
2. Discus your ideas and concepts with your Dean or division director.  You will need to obtain their support before proceeding.  
3. Once you have completed  Form A and obtained necessary support make an appointment to meet with the staff from the Resource Development Office to further discuss your ideas and develop a funding strategy.

Yes!  This is the primary role of The RDO - assist faculty and staff in the development of a grant proposal from conceptualization to submission.  The level of assistance provided during the development process varies based on the complexity of the grant proposal, the experience of the program staff and the need for a team approach to develop the proposal. We will assist you with all pre-award program planning and grant writing.  We will guide you through the interpretation of the guidelines, assist in facilitating the team writing process and in some instances serve as the primary writer. We will also take the lead on the final submission of the grant application; however all proposals and grant applications must be completed and ready for submission at  least five days prior to the funding agency deadline.  Most funding sources require electronic submission of proposals; therefore, please allow a few extra days for system and technology errors.  Failure to submit final documents to the RDO in a timely manner may lead to an unsuccessful submission.   A complete application package will include:

• Funding agency guidelines
• Approved Budget & Budget justification
• Electronic & Hard Copy of the Final proposal
• Letters of Commitment from Collaborating Agencies
• Form B:  Request for Planning Authority for an Externally Funded project
• Other Supporting Documents as Requested by the Funding Agency

Occasionally, very interesting and/or unique funding opportunities present themselves and can create a buzz of excitement among faculty and staff. The Resource Development Office is available to assist faculty and staff in obtaining grant funds that advance the College’s mission, supports the development of new projects and enhances existing programs.  The RDO will coordinate with key individuals or develop a grant writing team to move the proposal from conceptualization to submission.   In order to ensure that the opportunity is appropriate and in alignment with District and Eastfield College strategic initiatives contact the RDO immediately to discuss the proposed project.

1. Prepare Form A:  External Funding Proposal Concept Abstract and forward to the RDO along with a link or pdf of the funding agency guidelines.
2. Discus your ideas and concepts with your Dean or division director.  You will need to obtain their support before proceeding.  
3. Pay attention to deadlines and any request from the agency to submit a letter of intent.
4. Upon meeting with the RDO be prepared to answer the following questions:
   • Are you ready ? Do you have the people and relationships in place to develop a project, secure the partners, organize the application, and meet the deadline?  Have you completed the Critical  Considerations for Submission of  Proposals Assessment Form?
   • Does this funding possibility match college mission, goals, students, community?
   • Is it a priority need? Or a way to help meet such a need?
   • Can your division/Eastfield College afford to do this? Are the commitments required realistic or too expensive?
   • If matching funds are required, do you have a plan to secure the match?

Congratulations on securing and maintaining this relationship! As resources become limited and funds restricted many State and Federal grants are requiring collaborations and partnerships with community partners and other institutions of higher education. The ability to build strategic partnerships with colleagues inside and outside of Eastfield College will be critical in competing for future funding.    Even as the primary recipient of a grant a funder may require EFC to prove that we have well-established partnerships and may request documents that demonstrate a formalized relationship. A soon as you become aware of an opportunity to partner with an organization please contact the RDO immediately so that we may assist you in a timely submission to the prime agency.  

In order to submit a proposal in which Eastfield College will be the sub-recipient of funds the following documents will be need:

• Line Item Budget
• Budget Justification
• Scope of work
• Letter of Intent/Memorandum of Agreement
• Grant Guidelines
• Form B:  Request for Planning Authority for an Externally Funded Project

The RDO will assist you in completing any or all of these documents.

Yes,  it is possible to secure funding from a corporate foundation; however, the DCCCD Foundation will need to be consulted prior to initiation of the proposal process.  The DCCCD Foundation, Inc. serves all seven colleges and the District Office. It is the only recipient for private gifts and foundation grant funds. Any gift over $100 must be processed through the Foundation.  The Resource Development Office serves as the liaison to the Foundation and will seek approval to approach a corporate foundation for funding.
